This Privacy Policy describes how TourneyBit LLC ("we," "us," or "our") collects, uses, and shares information in connection with your use of our websites (including tourneybit.com and its subdomains) and services (collectively, the "Services").

a. Information You Provide to Us

• Venue and Facility Data: If you are a sports/esports center or facility using our platform, we may collect basic information about your venue like its name, associated organization, and street address. We utilize your facility name to provide transparency around who is organizing leagues and events.
• League, Tournament, and Event Data: We collect data about the leagues, tournaments, and events you operate to provide our Services. This data includes identifying information, competition formats, promotional content, participants, match schedules and bracket, venue layout, match results, and standings. These leagues, tournaments, and events are publicly accessible via sharing capabilities.
• Registration data: When registering for a league, tournament, or event, we collect registration details, including personal data and contact information, to help you adequately register for the particular competition or event. Organizers may choose to request more or less data about you when registering for their competitions and events at their discretion depending on their requirements.
• Profile Data: Display name which may include first name and last name, profile picture, tagline, teams and team members, and in-game IDs. This information, when provided or synchronized from third-party accounts, is associated with a publicly accessible profile.
• Email Address and Linked Third-Party Accounts: Your email address and third-party accounts are utilized for logging into the service. Your provided email address or email address associated with third-party login methods will be saved and used for transactional notifications related to our Services.
• User-Generated Content: We collect the content you upload to our platform, including images, graphics, or other assets associated with your competitions, player profiles, and teams.
• Participant Names: Even when not using profiles, we may collect the real names or display names of participants to create brackets, display tournament progress, and show results.
• Feedback and Contact Information: We may collect your contact information and other details when you provide feedback through our feedback channels like Discord, book a demo, or contact us for sales inquiries.

b. Information from Third Parties

• Feedback and Pre-Sales: We use third-party services like Discord for product feedback, as well as Calendly and Fillout for customer and pre-sales information.

c. Automatically Collected Information

• Usage Data: We collect and aggregate anonymous usage statistics, such as the URLs visited and visit counts, to understand how our Services are used and to improve them.
• Location Data: We may derive your approximate location (e.g., city, state, or country) from your IP address or venue information to display or report on regional activity within our Services, or to ensure compliance with local laws and regulations.

2. How We Use Your Information

We use the information we collect for the following purposes:

• To Provide and Manage Services: We primarily use the information you provide to us to facilitate organizing and participating in leagues, tournaments, and events.
• To Communicate with You: We may use your email address to set up your account and send relevant transactional notifications to you. If you provide information through our contact forms or sales channels, we will use it to contact you for the related purpose, including possibly sales or marketing purposes.
• For Analytics and Improvement: We use user data to analyze service usage. Participant data may be used to provide participation statistics to competition and event organizers.
• For Aggregated Reporting and Public Displays: We may aggregate, anonymize, and de-identify data (such as active tournaments and leagues, site traffic, and regional activity) to operate administrative or public-facing features like activity dashboards, and for promotional or marketing purposes including communications and statistical reports.

We do not sell or share your personal information to third parties for cross-context behavioral advertising.

3. Information Sharing and Disclosure

Your information is shared in the following circumstances:

• With Service Providers: We share information with third-party service providers who help us operate our Services, including Digital Ocean and Microsoft Azure for application and database infrastructure, Cloudflare for infrastructure, network security, content screening, and content storage, Calendly for booking demos and sales-related meetings, and Fillout for customer information management. Notably, any user-generated content including images uploaded to the platform may be screened and analyzed for safety by AI models running in Cloudflare. These providers have their own privacy policies governing how they use your data.
• With Competition and Event Organizers: If you register for a tournament, league, or event, organizers will be able to view any data you submit, including personal information and data associated with your profile (if registering when signed in).
• With Partners: If you are using TourneyBit Services through a third party, the third party has access to data you share, and this access is governed by their own privacy policy.
• Publicly via Player Profiles and Team Profiles: Player Profiles are not private and are accessible by URL with the player’s username. Certain identifying Player Profile data is only visible to the user when signed in like the associated email address and linked accounts. Team Profiles, identifying the team members, are accessible via Player Profiles and via direct URLs.
• Publicly via Tournament URLs: Tournament URLs are not private. Anyone with access to a tournament's administrative or read-only URL will be able to view the tournament or event, or, in the case of an administrative URL, modify the tournament or event.
• Business Transfers: Data may be transferred in the event of a merger, acquisition, or sale of assets.

4. Data Security

We take reasonable measures to protect your information, though no security system is impenetrable. Please be aware that TourneyBit tournament URLs are only protected by URL-level privacy. You are responsible for keeping your tournament URLs confidential if you do not want others to access your tournaments and events.

5. Data Retention

We retain your data as long as your account is active or as needed to provide the Services, comply with legal obligations, or resolve disputes.

6. Children's Privacy

Our Services are not designed for or intentionally targeted at children under the age of 13. We do not knowingly collect personal data from children. If we become aware that a child has provided us with personal information, we will take steps to delete such information.

7. Third-Party Services

This Privacy Policy does not apply to the practices of companies that we do not own or control. Links to related privacy policies are provided here for convenience, though the inclusion of this list does not imply that these are solely the only privacy policies that are applicable when using our Services.

• Our network infrastructure and AI-based content screening are powered by Cloudflare and are subject to the Cloudflare Privacy Policy.
• Information provided to Fillout is subject to the Fillout Privacy Policy.
• Use of Calendly for appointment booking is subject to the Calendly Privacy Policy.

8. Your Rights and Choices

In certain jurisdictions, you have the right to request access to your data or request the deletion of your data. Even in jurisdictions where this is not required, TourneyBit will make an effort to accommodate your request. 9. Cookies

To provide a secure and functional experience, our Service uses cookies exclusively for user authentication, maintaining user sessions, and login purposes. Additionally, our Service uses cookies from our third-party network service provider, Cloudflare, for performance, networking, and security purposes. We do not actively respond to Do Not Track ('DNT') browser signals. Regardless, we do not actively try to track users for advertising or direct marketing purposes.

10. International Data Transfers

TourneyBit is located in the United States. Information we collect may be transferred to, processed, and stored in the United States or other countries where our service providers maintain facilities. By using the Services or providing us with any information, you consent to the transfer, processing, and storage of your information in the United States, which may have data protection laws that differ from those in your country of residence.
